Privacy Information — Participant Window

Last updated: 12 August 2026

This Privacy Information explains how personal data submitted through the Spiral Civilization Participant Window is collected and used.

  1. Who is responsible for the data?

The Participant Window is administered by Katarzyna Jaśkiewicz, initiator of Spiral Civilization.

Contact concerning personal data:
contact@spiralcivilization.org

Spiral Civilization is currently an independent project and developing interdisciplinary research initiative. If the legal or organizational structure responsible for the project changes, this information will be updated.

  1. What information may be collected?

The Participant Window may collect information that you choose to provide, including:

  • your name or the name of an institution, group, project, network or AI team;
  • your description of yourself or the entity you represent;
  • email addresses and other contact channels;
  • countries, regions or locations with which you are connected;
  • affiliations, roles and fields of activity;
  • Spiral Civilization projects that interest you;
  • possible forms of participation or contribution;
  • questions, needs, criticisms, concerns and proposals;
  • links to websites, profiles, publications, portfolios or other materials;
  • your choices concerning contact, storage and potential future public visibility.

The system also records technical and administrative information connected with the submission, such as the date of submission, entry identifier and information necessary for security and spam protection.

3. Why is this information collected?

Information submitted through the Participant Window is used to:

  • receive and review expressions of interest, questions, proposals and possible contributions;
  • respond to participants who provide a contact channel and permit contact;
  • organize potential participation and collaboration within Spiral Civilization;
  • connect submissions with relevant projects, research fields or participation opportunities;
  • develop the Participant Window and future collaboration infrastructure;
  • maintain the security and proper functioning of the form;
  • prepare a possible future public participant profile only when the participant has expressed interest in this possibility.

The information will not be sold or used for unrelated commercial advertising.

  1. What do Private and Public mean in version 0.0?

Private information is stored in the internal Participant Record and is not intended for public display.

Information marked Public is information that the participant may wish to make visible in a future Participant Profile, Collaboration Map or relevant project field.

Participant Window v0.0 does not publish profiles automatically. Marking information Public does not itself cause publication. Any future public profile must be separately reviewed before publication.

A participant may keep the entire Participant Record private, including information individually marked Public.

  1. Legal basis

The information is processed on the basis of the participant’s consent.

Consent is given by actively selecting the Participant Record consent checkbox before submitting the form. The checkbox is not selected by default.

You may withdraw your consent at any time by contacting:

contact@spiralcivilization.org

Withdrawal of consent does not affect processing that took place before the consent was withdrawn.

  1. Please do not submit unnecessary sensitive information

Please do not include sensitive personal data unless it is genuinely necessary for your submission.

Sensitive personal data may include information about health, racial or ethnic origin, political opinions, religious or philosophical beliefs, trade-union membership, genetic or biometric data, sexual life or sexual orientation.

If your idea or perspective concerns one of these areas, describe only what is necessary and avoid providing private information about other people.

  1. How long is the information stored?

A Participant Record will normally be stored for no longer than 24 months after its submission or last meaningful activity.

If active participation or collaboration develops, relevant information may be retained for the duration of that relationship and reviewed periodically.

Information may be deleted earlier when:

  • the participant requests deletion;
  • the submission is no longer relevant to the stated purposes;
  • consent is withdrawn and there is no other lawful reason to retain the information;
  • the record is found to have been submitted unlawfully or without appropriate authority.

Limited technical copies may remain temporarily in routine backups until those backups are automatically replaced.

  1. Your rights

Depending on the circumstances and applicable data-protection law, you may request:

  • information about how your personal data is used;
  • access to the personal data held about you;
  • correction of inaccurate or incomplete information;
  • deletion of your Participant Record;
  • restriction of processing;
  • withdrawal of your consent;
  • a change from Public to Private visibility;
  • removal of information from a future public profile;
  • a copy of the information you submitted in a commonly used electronic format.

To make a request, contact:

contact@spiralcivilization.org

Please provide enough information to identify the relevant Participant Record. Additional information may be requested when necessary to confirm that the request concerns your own data.

Requests will be handled without undue delay and normally within one month.

  1. Who may access or process the information

Participant information may be stored or processed through the WordPress website, Formidable Forms, the web-hosting infrastructure and the email services used by Spiral Civilization.

Access is limited to the administrator of Spiral Civilization and, where technically necessary, service providers supporting the website, hosting, forms, security or email delivery. These providers may process information according to their own service agreements and privacy terms.

Spiral Civilization does not sell participant information.

  1. Automated processing

Participant submissions are not subject to automated decision-making or automated profiling that produces legal or similarly significant effects.

Automated security mechanisms may be used to identify spam, abuse or technically harmful submissions.

  1. Questions and complaints

Questions, requests or concerns concerning participant information may be sent to:

contact@spiralcivilization.org

We encourage participants to contact us first so that we can try to resolve the matter.

You also have the right to lodge a complaint with the Swedish Authority for Privacy Protection (IMY):
